How to Search Cases by Name
Open Kansas CaseSearch, choose the appropriate name search, and enter a focused term. The Smart Search interface can match parties and offers advanced routes for a business, attorney, citation, or judge. Use public case details, not private identifiers, to distinguish results.
- Open the official Kansas CaseSearch portal and select the Smart Search route appropriate for a person or business.
- Enter the last or business name first, adding a first name only when needed to narrow common results.
- Use Rice County, case type, status, date, or judge filters carefully; remove optional filters if the expected case disappears.
- Compare the case number, caption, court, filing date, and type before opening the matching case information and events index.
| Field Label | Type | Required | Notes |
|---|---|---|---|
| Last or business name | Text | For a name search | Start with the least restrictive accurate spelling |
| First name | Text | When needed | Use it to narrow common surnames |
| Court / case type | Filter | No | Choose Rice and the known case family |
| Date range | Date filter | No | Use only when the filing period is known |
Smart Search Fields That Matter
| Field | Best use | Caution |
|---|---|---|
| Search type | Choose name, number, or another supported route | Wrong type can hide a match |
| Search term | Enter the core name or identifier | Spelling and punctuation matter |
| Location | Narrow to Rice County | City court matters may be elsewhere |
| Case type / status | Reduce a large result set | An overly narrow filter can exclude the case |
| Date / judge | Distinguish similar records | Assignments and dates can change |
Reset clears the filters, Submit runs the search, and reCAPTCHA is part of the current interface. A technical failure is not a case-status result.
How to Search by Case Number
Enter the number exactly as printed on the court notice, including leading zeros and the case-type code. A Kansas example such as 2025-CV-000123 combines a filing year, a type code, and a sequence. Some displays may add a county prefix. If the complete form fails, try the core number, then verify that the returned court is Rice County District Court.
CaseSearch Is the Current Entry Point
The Kansas Judicial Branch now presents CaseSearch as the current portal. Older bookmarks may use production-portal or public-portal names, and historical instructions may show a slightly different interface. Begin from the current official URL rather than assuming an old alias is a separate database.
Kansas Courts eFiling serves authorized filing activity. It does not replace CaseSearch for ordinary public browsing and does not make the filer portal the official custodian of a Rice court file.
What a Case Search Shows
A matching result can lead to case information, an events index, and eligible documents. Those are three different outcomes: basic information identifies the matter; events show its procedural chronology; document text contains the filing or ruling.
| Case Number | The unique Kansas identifier, commonly carrying a year, type code, and sequence such as 2025-CV-000123. |
|---|---|
| Style / Parties | The public case caption and party roles used to distinguish similarly named results. |
| Case Type | The assigned family, such as criminal, civil, domestic, probate, limited action, or small claims. |
| Filed Date | The recorded opening or filing date, useful for distinguishing similarly captioned cases. |
| Status | The portal's current open, closed, disposed, pending, or other status label, read together with the latest event. |
Interpret a Blank Result Carefully
No result is not a conclusion. Check spelling, remove extra filters, try the case number, and verify the court. Juvenile, sealed, expunged, protected family, or other restricted matters may not appear remotely.
A city citation may belong to Lyons or Sterling Municipal Court. Older converted information may require the public terminal or clerk's counter. Call the Rice clerk at 620-257-2383 before traveling for a large or uncertain request.
County vs Statewide Case Search
Rice does not publish a separate complete county case-search database. CaseSearch is the statewide layer for eligible District Court information, while the Rice clerk and courthouse terminal are the local official routes. Municipal clerks retain city-court records, and appellate cases use the Kansas appellate search.
| Statewide Portal | Rice County Local Route |
|---|---|
| Eligible public District Court cases across participating Kansas counties | Rice clerk and courthouse terminal access for Rice District Court records |
| Case information, events index, and eligible online documents | Official file inspection, specific copies, certification, and older converted public material |
| Best for locating an eligible case when the Kansas county is uncertain | Best for confirming a known Rice case or obtaining its actual filed document |
The Rice Terminal Is a Second Path
Kansas access rules distinguish internet access from courthouse-terminal access. The terminal at the Rice County Courthouse may supply older converted public information or events omitted remotely. Visit 101 West Commercial Street in Lyons during published hours, generally 8:00 a.m. to 5:00 p.m. weekdays, after checking holidays and closures.
For a document, give the clerk the case number, document name, and filing date. Inspection, an ordinary copy, and a certified copy are different requests.
Restricted Cases and Access Rules
Kansas Supreme Court Rule 22 governs public access to district-court records, while Rule 106B distinguishes case-by-case electronic access from bulk information. Juvenile, sealed, expunged, and protected records can be withheld or redacted. The public portal does not promise every case type or document.
Only a court can authorize access that the law restricts. For an otherwise public item absent online, use the Rice clerk's records guidance or an appropriately specific Kansas Open Records Act request; do not send unnecessary sensitive identifiers.
